Job Description

As an Office Administrator / Care Coordinator at Vovo Care Ltd, you will play a dual role in ensuring smooth office operations while also coordinating care services for our clients. You’ll be the backbone of our administrative team, handling day-to-day office tasks, scheduling care staff, and acting as a vital link between our caregivers, clients, and management. This role requires excellent organisational skills, attention to detail, and a commitment to providing exceptional service.

Key Responsibilities

Administrative Duties:

  • Manage office operations, including answering phones, handling correspondence, and maintaining records.
  • Prepare reports, presentations, and documents as required by management.
  • Handle data entry and maintain accurate records in compliance with company policies and regulatory standards.
  • Ensure all office supplies are stocked and equipment is functioning properly.
  • Manage invoicing, billing, and financial records in collaboration with the finance team.

Care Coordination Duties:

  • Schedule and coordinate care staff to ensure optimal coverage and continuity of care.
  • Liaise with caregivers and clients to address scheduling changes, emergencies, and care updates.
  • Monitor care delivery to ensure it meets the company’s quality standards.
  • Maintain accurate records of client care plans and staff schedules.
  • Provide support to the care team, addressing any concerns and ensuring smooth communication across departments.
What We’re Looking For
  • Eligibility: This position is open to UK residents only.
  • Experience: Previous experience in office administration, care coordination, or a related role is preferred.
  • Skills:
    • Strong organisational and time-management skills.
    • Excellent written and verbal communication skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with care management software (desirable).
  • Personality: Detail-oriented, proactive, and able to handle multiple tasks simultaneously in a fast-paced environment.
  • Team Player: Ability to work collaboratively with caregivers, clients, and management, while also being able to take initiative and work independently.
  • Problem-Solving: Ability to think on your feet, manage conflicts, and resolve scheduling challenges effectively.
Training and Certification Requirements
  • Business Administration degree or a degree from related fields.
  • Enhanced DBS (Disclosure and Barring Service) check (required).
  • Willingness to undergo additional training as required.
